NexTravel Hire is our unique product that allows you to book and organize travel for people outside your company. While it is primarily used to invite job candidates, it can also be used for any other non-employee travel as well.
How to invite candidates
To invite a new candidate, click the
button at the top of the page
You can either select a candidate whom you have invited before, or create a new candidate profile.

You will be presented with a window to enter the personal details for the traveler. All of this information is optional, including the email address, since you can book travel on the candidate's behalf without inviting them to use NexTravel.

The next window allows you to customize the invite for the traveler. This is where you can have full control over what kind of travel gets booked. You can select an existing policy or create a new policy using our policy wizard.

To select an existing policy, click the pencil icon for "Travel Policy".
The next window allows you to select an existing policy, or go back to the previous window to create a custom policy.
To create a custom policy just for this candidate, you can edit each of the items on the policy wizard.

The first item allows you to customize the dates of travel. You can specify the departure date and return date. If you need the traveler to arrive or depart after a certain time of day, you can set the time of day as well.

Next, you can specify the travel destinations. To prevent the traveler from accidentally booking travel to the wrong city (or deciding to book a flight to Hawaii instead), you can restrict the cities that can be booked.

To help control costs, you can set price restrictions for all types of travel. For anything outside the price range, you can also specify whether you want to completely hide these results or whether you want to show the results but require your approval before they are booked.

Next you can restrict the type of travel that is booked. If the traveler does not need a hotel (for a 1 day trip) or a car rental, you can disable that travel here.

Lastly, you can specify the form of payment used. For easier reconciliation, you can require all travel to be paid using your company card rather than traveler's personal card.

You will be presented with the summary of the traveler and any travel restrictions.

The last step is deciding whether you want to send an invitation email to the traveler to book their travel. This will send the traveler an email which will allow them to book travel within the restrictions you specified. You should set an expiry date for the invitation. Alternatively, you can always book travel on behalf of the traveler without inviting them to use the platform.
