What are Roles and How Do I Use Them?
Roles restrict what your employees can and cannot access on the website.
You can manage roles on the Company Policies page
There are 4 default roles:
- Company Admin - Full access to the entire company and all employees
- Department Manager - Can view, manage, and book travel for all employees in their department and all subdepartments
- Employee - Can only book and manage travel for themselves
- Assistant - Can book and manage travel for their manager
You can create your own custom roles by following the instructions below.
Add a Role
You can add roles on the Company Policies page.
To add a new role, click the Add Role button at the top of the Roles section.
Modify a Role
Select the role you want to modify and click thebutton.
You will be taken to the role details page where you can modify all aspects of the role.
All roles are composed of permissions. Each permission restricts what employees can and cannot do.
Clickto add a permission to the role.
A good starting point would be what you want the employee to have access to within their own user profile. Most of the time you'll want the employee to have access to everything in their profile. To allow or disallow specific items within their profile, switch on Allow Viewing/Allow Editing for each item.
To do this, select Add Permission and then select Access To → User (specific user). Once User (specific user) is selected a "User" box will appear where you can select a specific user. You can then select what the employee can view/edit within this specific user’s profile.
You can repeat the steps above to add additional permissions for the role.
Apply a Role to an Employee
Select the employee you want to update and click thebutton.
In the popup, select the desired Role for the employee and click.
Delete a Role
Select the role you want to delete and click the Delete button.
After confirming the deletion, the role will be removed from your list of company roles.
Important: Keep in mind that you cannot delete the roles which still contain employees. You will need to move all the employees to a different role before deleting it.
